Finance Case Study

Founded over two decades ago, this company has evolved into a global partner providing essential services in challenging environments. Over time, it has expanded its operations to meet the growing needs of its clients across diverse regions.

Our team was brought in to analyze the client’s existing systems and identify key areas for improvement. After a thorough assessment, we worked closely with the client to design and implement a customized invoicing solution. The objective was to resolve the challenges they were facing and position them for sustained growth and success.

Points of interest

  1. Long invoicing times
  2. Invoicing error margin
  3. Invoicing error to clients
  4. Receivables aging

Solutions and tools used

In tackling the client’s invoicing challenges, we introduced a series of strategic solutions that enhanced operational efficiency, improved financial accuracy, and streamlined communication between key departments.

Enhanced Integration and Comunication

One of the first steps we took was to connect the operations and finance teams, which had previously been working in isolation. By fostering this departmental integration, we enabled a smoother, more cohesive workflow. This eliminated delays and miscommunications that often led to revenue losses. Additionally, we replaced fragmented email chains with a centralized communication platform. This shift not only improved collaboration but also ensured that vital project updates were always available to the right people at the right time.

Improved Transparency and Billing Accuracy

We focused heavily on increasing transparency and control over the invoicing process. By implementing more robust oversight mechanisms, we made it easier to track and verify each stage of billing. This helped eliminate common issues, such as incorrect service charges and pricing errors, ensuring that clients were always billed accurately for the services provided. The improved billing processes not only reduced financial discrepancies but also contributed to greater trust and satisfaction among the client’s customers.

Streamlined Document Management and Reduced Information Silos

We also addressed the client’s document management system, introducing more structured, accessible controls to manage key records and invoices. This improvement made it easier to retrieve and verify important documentation, ensuring that nothing was lost in the shuffle. Additionally, we implemented strategies to reduce information silos, making critical information accessible across teams and departments. This continuity was particularly valuable in cases of employee absences or turnover, ensuring that important tasks didn’t stall due to a lack of access to essential data.

Comprehensive Administrative Support

Beyond technical improvements, we provided hands-on support for administrative tasks, such as generating and preparing draft invoices, timesheets, and requisitions. Our involvement also extended to supervising the review and approval of accounts payable invoices, timesheets, and expenses. By taking ownership of these often-delayed tasks, we ensured that administrative duties were handled promptly and efficiently, further reducing bottlenecks in the invoicing process.

We also ensured that the client’s data protection needs were met by providing licensed and certified Data Protection Officers, helping them stay fully compliant with GDPR regulations.

Tools implemented for Lasting Impact

To sustain these improvements, we introduced two custom-built tools:

  • Invoice Tracker: This tool provided end-to-end visibility into the invoicing process. It allowed the client to track which invoices were completed, which needed further documentation, and when each stage—data collection, creation, verification, and final approval—was completed. By ensuring no issues were left unresolved, the invoice tracker became a crucial tool for maintaining control and accuracy.
  • Project Management Tracker (PMT): We also introduced a project management tracker that allowed the client to monitor project progress and track billable fees. This customizable tool was adapted to their monthly invoicing cycle, making it easy to stay on top of both project milestones and associated billing.

These interventions not only transformed the invoicing process but also provided the client with greater visibility and control, reduced administrative burdens, and ensured that all tasks were completed in a timely, accurate manner. By integrating operations and finance, improving communication, and implementing innovative tools, we significantly enhanced the client’s overall efficiency and profitability.

Results

As a result of our interventions, the client saw dramatic improvements in their invoicing process and financial accuracy.

One of the most significant changes was the reduction in invoicing time, which was shortened from 90 days to just 30 days. This acceleration not only streamlined cash flow but also allowed the client to manage their finances more effectively and respond to customer needs with greater speed.

In terms of accuracy, the error margin for internal data transfers between the operations and finance teams was reduced from 90% to 0%. By fully integrating these departments and improving communication, we eliminated the risk of internal data errors, ensuring that all information passed between teams was accurate and reliable.

Additionally, invoicing errors to clients, which previously stood at 70%, were also reduced to 0%. This flawless invoicing process meant that clients were always billed correctly, which significantly increased customer satisfaction and trust.

Perhaps the most impactful result was the elimination of missed revenue. Before our interventions, delays in producing invoices led to a notable portion of potential yearly revenue going unclaimed. By improving the invoicing timeline and accuracy, we terminated these revenue losses entirely, ensuring the client could capture their full financial potential.
