IT Optimization
Operating for over two decades, this organization has grown into a pivotal service provider for remote and demanding environments. With a mission to adapt to the evolving needs of its diverse clientele, the company’s expanding operations introduced complexities in their IT systems, resulting in inefficiencies and rising costs.
Our team was engaged to assess and optimize the company’s IT infrastructure. Through detailed evaluation and collaboration with internal teams, we implemented strategic improvements to streamline processes, integrate systems, and significantly reduce IT expenditures.

Solutions and tools used
Comprehensive IT Assessment
Our approach followed established frameworks, including COBIT 2019, NIST, and ISO 27001, to ensure alignment with industry best practices. The assessment focused on five core areas: networking, hardware, data storage, core software, and applications. We reviewed existing documentation and procedures to identify inefficiencies in workflows and system integration. Custom questionnaires were distributed to key stakeholders, and in-depth interviews were conducted with department leads and end-users. This allowed us to uncover redundant processes, bottlenecks, and underutilized tools. Additionally, we evaluated critical dependencies and assessed the business impact of current IT systems, ultimately creating a roadmap for addressing the organization’s challenges and aligning IT capabilities with business objectives.
Migration from G Suite to Microsoft Office 365
During our assessment, it was concluded that Microsoft Office 365 offered significantly more functionalities and integration possibilities compared to G Suite. By migrating the entire organization to Office 365, we not only eliminated the need for G Suite but also replaced several redundant software solutions. This migration unified the communication platform with Microsoft Teams, enabling seamless collaboration. Additionally, the adoption of SharePoint as a centralized repository addressed document management challenges, while Office 365’s suite of tools provided enhanced productivity and scalability for the organization.
Creating a Centralized Data Repository
To address the lack of a cohesive document management system, we implemented a centralized data repository using SharePoint. A main hub site was created to serve as the organization’s digital backbone. This hub site provided centralized access for all departments and included shortcuts to essential company portals, systems, and software. The repository ensured secure document management with controlled access and group-specific permissions. A dedicated PMO site was also established, featuring project folders, dashboards, and templates tailored to project management needs. Additionally, by storing all documentation on SharePoint, employees could collaborate more easily, even working simultaneously on the same document. This enhanced real-time teamwork and significantly improved efficiency.
Focused Employee Training
To address the underutilization of software, we organized tailored training sessions for employees. These sessions ensured that staff fully understood the capabilities of the tools at their disposal, maximizing their productivity and efficiency.
Tools implemented for Lasting Impact
IT Framework Map
The IT Framework Map provided a comprehensive visualization of the organization’s interconnected IT systems. This tool served as the foundation for identifying inefficiencies, redundant workflows, and areas for improvement. It outlined relationships between hardware, software, and data flows, enabling informed decision-making about resource allocation and system upgrades. With this detailed map, the organization could continuously monitor system performance, anticipate potential bottlenecks, and ensure that their IT infrastructure aligned with evolving business goals.
Software Inventory Tracker
This custom-built dashboard provided a detailed overview of the company’s software ecosystem. It tracked key metrics such as the number of active licenses, user groups and departments, software business criticality, and functionality utilization. By providing real-time updates, the tracker enabled the organization to identify redundant or underused software, facilitating cost reductions and optimizing resource allocation. Additionally, the constant visibility offered by the tracker allowed us to iteratively refine their software portfolio, ensuring ongoing reductions in IT expenditures.
Centralized Collaboration Tools
The implementation of Microsoft SharePoint created a unified document repository that allowed for consistent access to critical files. This streamlined collaboration across departments, enabling employees to work simultaneously on shared documents and ensuring version control. Furthermore, the repository’s structured design ensured that all documentation was easily accessible, secure, and aligned with organizational needs.
Automation with Microsoft Forms and Power Automate
To further enhance operational efficiency, we utilized Microsoft Forms and Power Automate to streamline and automate key processes, such as expense submission. Customized workflows were set up to handle notifications, data routing, and approval processes, ensuring that routine administrative tasks were completed swiftly and accurately. These automated solutions freed up valuable employee time, allowing the team to focus on high-value activities while maintaining consistency and reducing errors.
Dedicated SharePoint Administrator
To ensure the sustainability and longevity of the implemented solutions, we provided the client with a dedicated SharePoint Administrator. This individual is responsible for overseeing SharePoint administration, managing software licenses, maintaining critical administrative accounts, and addressing IT-related questions. The SharePoint Administrator ensures that processes run smoothly and acts as a bridge between the client’s teams and the technical service providers. Seamlessly integrated into the client’s organization, this professional is perceived as a trusted internal resource, fostering collaboration and ensuring that all IT solutions remain effective and aligned with organizational goals.
